1. Who is responsible

The controller within the meaning of the General Data Protection Regulation (GDPR) is:

2. Overview and roles

jixmo offers a website, an order process, connected scoring devices (“Sets”) and a cloud platform for venues, tournaments, leagues, players, rankings and live views.

3. Website and ordering

3.1 Website and hosting. The website jixmo.io is created and hosted with the platform Systeme.io (ITACWT Limited, 2 Cruise Park Rise, Tyrrelstown, Dublin 15, Ireland). When you visit the website, technical data is processed so that the pages can be delivered and secured: IP address, date and time, requested page, browser type and version, operating system and referring page. Legal basis: Art. 6(1)(f) GDPR (legitimate interest in a functioning and secure website).

3.2 Cookies and similar technologies. jixmo does not use its own analytics, advertising or tracking tools on the website: no Google Analytics, no Meta Pixel, no Google Tag Manager, no social media plug-ins and no fonts or images from third-party providers such as Google Fonts. The website therefore has no cookie banner. Because the website runs on the platform Systeme.io, the platform itself uses the following technologies, which jixmo cannot switch off:

Legal basis: Art. 6(1)(f) GDPR (legitimate interest in operating the website, in simple statistics about its use and in the security of the checkout) and, for the checkout, Art. 6(1)(b) GDPR. You can block or delete cookies in your browser settings; the pages can still be used. You can object to the processing at any time (Section 11).

3.3 Orders and checkout. When you pre-order or order, jixmo processes your name, delivery and billing address, e-mail address, order details and payment information. Legal basis: Art. 6(1)(b) GDPR (performance of the contract) and Art. 6(1)(c) GDPR (tax and commercial law obligations). Available payment methods are credit card, Apple Pay and Klarna (all processed through Stripe) and PayPal. Card and payment data is entered directly with the payment provider and is not stored by jixmo; jixmo does not receive your card number.

3.4 Confirmation e-mails and communication. Order confirmations and further e-mails about your order are sent through Systeme.io. If you contact jixmo by e-mail, the data you send is processed to answer your request (Art. 6(1)(b) or (f) GDPR).

3.5 Contact through Instagram. If you contact jixmo through Instagram (instagram.com/jixmo.io), your message is processed by Instagram (Meta) under its own privacy policy. Jixmo uses the data you send only to answer you. Legal basis: Art. 6(1)(f) GDPR.

3.6 Shipping. To deliver a Set, your name, delivery address and, if needed, your e-mail address or phone number are passed to the parcel carrier that delivers your order (currently planned: DHL). Legal basis: Art. 6(1)(b) GDPR.

4. Platform accounts and devices

4.1 User accounts. If you create an account for a venue, jixmo processes your name, e-mail address, role in the venue (owner, admin, manager, viewer) and a password stored only as a secure hash. Legal basis: Art. 6(1)(b) GDPR. Two-factor authentication is not offered.

4.2 Venue data. For each venue, jixmo processes the venue name, type, country and time zone, its courts, Sets and devices.

4.3 Sets and device data. Connected devices transmit scores, score events, timestamps, device and serial numbers, firmware version and technical status (battery level, Wi-Fi signal strength, free memory, uptime), and the temperature and humidity measured on the court. This data is processed to operate the service. Device logs are deleted automatically after 365 days. Legal basis: Art. 6(1)(b) and (f) GDPR.

4.4 Technical access data. When you use the platform, your IP address and browser identifier are processed to provide and secure the service (Art. 6(1)(f) GDPR).

5. Players, rankings and public views

5.1 Player profiles. A player profile can contain first name, last name, display name, a pronunciation name for spoken announcements, an optional e-mail address, the home venue and status. Profiles can be created by a venue (processing in the venue's responsibility, see Section 2) or by the player. A player can claim a profile and create an own account. The digital features of the account are activated only with an active Player License. Data entered into an account without a Player License (for example name and e-mail address) is stored for the account and is not used for rankings or public display. Such an account is kept until you delete it or request its deletion. For player accounts created by the player, jixmo is the controller. The legal basis is Art. 6(1)(b) GDPR (use of the Player License and platform) and, for optional features, Art. 6(1)(a) GDPR.

5.2 Match data, ratings and rankings. Scores, results and match histories are used to calculate ratings and rankings with an automated rating method (OpenSkill). A venue's local ranking is a filtered view of a ranking calculated across all venues on the platform. Ratings are calculated automatically but have no legal effect on you.

5.3 Public display. Results, display names, rankings and statistics can be shown in public live views, leaderboards and through interfaces (API). There are two cases. (a) Rankings and leaderboards: a player's name appears only if the player has an own player account with an active Player License and has accepted this privacy policy. A player account without an active Player License exists, but the digital features (including ranking, personal statistics and name announcements) are not activated, so the player does not appear in rankings. (b) Tournament handling: if a tournament director enters participants without a player account (anonymous play in the tournament), their names may appear in the tournament views of that tournament, but not in rankings. In this case the venue or tournament director is responsible for the entry and publication (see Section 2 and the DPA); requests should first be sent to them. Legal basis: Art. 6(1)(b) GDPR for players with a Player License, otherwise Art. 6(1)(a) or (f) GDPR as applicable.

5.4 Historical match records. A played match is part of the historical sporting record. If you delete your account, your personal identification is removed from historical match records. The anonymous result remains because other players' histories and rankings depend on it (Art. 17(3) and Art. 89 GDPR as applicable; see also the Terms).

6. Voice identification and spoken names

6.1 What happens. A player can identify themselves at a Set by pressing a button and saying their name and/or a short code. The device records the audio only for this request and sends it to the platform.

6.2 Processing steps.

  1. The audio is converted to text by the speech-to-text service of ElevenLabs. To improve recognition, first names of the players of the same venue may be sent with the request as a hint.
  2. The text (not the audio) is analyzed by OpenAI to extract the spoken name and code.
  3. The platform matches the result to a player profile.

6.3 No voice profile. Jixmo does not create a voice profile or any other biometric template and does not recognize a person by voice characteristics. The audio is processed transiently and is not stored. The text is not written to application logs. Only the result (for example the identified player and technical information needed for operation, security and troubleshooting) is kept. Debug recordings are not used in normal operation. If they are temporarily enabled for troubleshooting, they are protected and deleted without delay.

6.4 Spoken name announcements. To announce your name, jixmo creates a short synthetic audio clip of your name with the text-to-speech service of ElevenLabs. The clip is stored on the platform and deleted when your profile is deleted.

6.5 Legal basis. Voice identification takes place only if you actively use it. Legal basis: your consent under Art. 6(1)(a) GDPR, given by pressing the button and speaking, or, for Player License holders, the contract (Art. 6(1)(b) GDPR). You can withdraw consent at any time with effect for the future. Anonymous play without voice identification is possible.

7. Recipients and service providers

A venue that enters player data into the platform uses jixmo as processor under the DPA. Data is not sold. Data is passed to authorities or other third parties only if the law requires it.

8. Transfers to third countries

OpenAI, ElevenLabs and Stripe may process data in the United States. The transfer is protected by the EU-US Data Privacy Framework and/or the EU standard contractual clauses (Commission Decision (EU) 2021/914) in the agreements with these providers. PayPal and Klarna process data as independent controllers; transfers outside the EU are described in their privacy statements. Systeme.io states that its servers are in Ireland; its error monitoring (Sentry) uses servers in the USA, and jixmo has no influence on this and no setting to switch it off. You can request a copy of the safeguards by writing to the contact in Section 1.

10. Security

Jixmo protects data with technical and organizational measures: encrypted connections (HTTPS with TLS 1.2 or higher), passwords and access tokens stored only as hashes, role-based access, separation of customer data and of development and production, and restricted administrative access to the servers. No system is completely secure.

12. Complaint to a supervisory authority

You have the right to lodge a complaint with a data protection supervisory authority. The authority responsible for jixmo is the Bavarian State Office for Data Protection Supervision (Bayerisches Landesamt für Datenschutzaufsicht), Promenade 18, 91522 Ansbach, Germany. You can also contact the authority of your place of residence.

13. Automated decisions

There is no automated decision-making with legal effect or similar significant effect (Art. 22 GDPR). Ratings and rankings are calculated automatically from match results and serve only sporting information.

14. Changes

This policy can be updated, for example when features or service providers change. The current version is always available on this page. The version date is shown at the top.
